Solution : Setup Fax Forward
Fax Forward is set-up by the System Administrator using Internet Services. The incoming fax jobs that require forwarding are specified using their fax number. An e-mail address and/or repository is then entered as the forwarding address for the fax jobs specified.
Fax Forward to E-mail: The fax job is forwarded to an e-mail address as an attachment. Information to include in the e-mail, such as the subject or a message, can also be entered during set-up. When the user receives a forwarded fax in their e-mail, it will be either a single e-mail or multiple e-mails depending upon the size of the job.
Fax Forward to a Repository: The fax job is forwarded to an SMB file share repository. The fax job is stored using the parameters specified by the System Administrator. An e-mail notification can be set-up to notify the user that the fax job has been stored and is ready for retrieval. The user then accesses the file server to retrieve the stored forwarded fax document. The System Administrator specifies the file format type to use for the fax job, the supported types are:
Image only PDF
Searchable PDF
Multiple page TIFF
Image only XPS
Searchable XPS - The feature can also be set-up to print a copy of the fax at the device prior to forwarding. If the forwarded fax job fails to reach its destination, the device can be set-up to print a copy of the received document or notify the user the job has failed.
Creating a Fax Forward Rule:
From the computer, open an Internet browser window.
Enter the IP address of the printer in the Address field, and then press [Enter] on the keyboard. The CentreWare Internet Services window will be displayed.
Click on the [Properties] tab.
Enter the username and password in the fields provided, and then click on the [Login] button.
NOTE: The default user name is "admin" (case sensitive) an the default password is "1111".
Click on the [Services] link to expand the option.
Click on [Embedded Fax].
Click on [Fax Forward].
Click on [Edit] next to a Rule Name.
To base the new rule on an existing rule, next to Based on Rule, select a rule from the menu.
Enter a name for the rule.
Select a file format type from the menu.
In the Print Local Copy section, select [Always] to print all incoming faxes, or select [On Error Only] to print a copy only if the forwarded fax transmission fails.
To forward to an e-mail address, select the check box next to [E-mail]. The Forward to e-mail fields activate.
To forward to a file location, select the check box next to [SMB Protocol]. The Forward to File Destination activates.
Click on [Save].
Add an E-mail Address to a Fax Forward Rule:
Enter the e-mail addresses of the recipients in the Address fields.
Enter the following information:
From Address
From Name
Subject
The default attachment name is Fax. To customize the name of the attachment, click [Customize]. Under Display, select the check boxes next to [Date] or [Time] to add the date or time to the file name. Under Position, select an item, and click on the arrows to arrange the items as you want them to appear in the file name.
Click on [Save] to apply the new settings, or [Cancel] to return to the previous screen.
Enter the following information:
Message: This text is included in the body of the e-mail. The default text alerts the recipient that a forwarded fax document is attached to the e-mail.
Signature: This text is included in the body of the e-mail after the Message.
Click on[Save].
Adding a File Destination to a Fax Forward Rule:
Select IPv4 Address or Host Name and enter the address or Host name.
NOTE: A share folder has to be specified. If there is no additional path beside the share, the document path should just be a / (foward slash).
Enter the following information:
Document Path
Login Name
Password
Retype Password
To update an existing password, select the check box next to [Select to save new password].
The default File Name is Doc. To customize the name of the file, click on [Customize].
Under Display, select the check boxes next to [Date] or [Time] to add the date or time to the file name. Under Position, select an item and click the arrows to arrange the items as you want them to appear in the file name.
Click on [Save] to apply the new settings, or [Cancel] to return to the previous screen.
To send an e-mail confirmation when file transfer is complete, select [E-mail notification (without attachment)], and enter the e-mail address in the Notification Addressfield.
Click on [Save].
